As a Project Assistant, you’ll provide vital administrative support across multiple construction projects. You’ll work closely with Project Managers, Engineers, and Field Staff to ensure the timely flow of documentation and information.
Job Responsibility:
Reviewing and issuing contracts and change orders through CMiC and DocuSign
Requesting, tracking, and reviewing certificates of insurance and other required administrative paperwork from subcontractors and vendors
Processing submittals, including creation, distribution, and tracking
Issuing and managing Construction Bulletins, Requests for Quotes (RFQs), and plan/specification updates
Supporting project closeout activities, including punch lists, O&M manuals, and warranty documentation
Communicating with architects, vendors, and internal teams
Organizing and maintaining project documentation (digital and physical files)
Assisting with general administrative tasks such as correspondence, downloading and distributing plans, and supporting the Project Team in the field and office
Requirements:
Excels at communication, time management, and adapting to different personalities and work styles
Detail-oriented, efficient, and capable of working both independently and collaboratively
Ability to adjust schedule when needed to accommodate high-priority items
Demonstrates strong organizational and multi-tasking skills
Proactive mindset to problem-solving and a willingness to support wherever needed
Prior administrative experience
Proficient in Microsoft Office, especially Outlook and Excel
Nice to have:
Construction background is a plus
Proficient in CMiC, Autodesk, Pype, and DocuSign is a plus
