We are seeking a detail-oriented and organized contract Project Assistant to join our team. This role will support various project management functions and play a critical part in ensuring projects are completed on time, within scope, and budget. The ideal candidate is proactive, adaptable, and has strong administrative and communication skills.
Job Responsibility:
Assist the Project Manager and/or team leads in planning, tracking, and overseeing project timelines and milestones
Coordinate schedules, meetings, and communications among stakeholders
Prepare project documentation, including reports, presentations, and status updates
Track budget expenses, manage invoices, and ensure project expenses stay within approved limits
Maintain accurate and organized project records and files, both digital and physical
Support risk assessments and issue tracking, escalating concerns to the Project Manager as necessary
Work collaboratively with internal teams and external vendors to ensure smooth execution of project deliverables
Provide general administrative support, such as managing correspondence and handling project-related inquiries
Requirements:
Previous experience in project assistance or administrative roles is preferred
Strong organizational and multitasking skills, with attention to detail
Proficiency in office productivity tools (e.g., Microsoft Office Suite, project management software such as Asana, Trello, or MS Project)
Excellent communication skills, both written and verbal
Ability to work independently and collaboratively in a fast-paced environment
Problem-solving skills with the ability to adapt to changing priorities
High level of integrity and discretion when handling sensitive information
