The Project Assistant will provide comprehensive administrative and coordination support to the Project Team, ensuring efficient project documentation management, communication flow, and day-to-day project operations in accordance with project procedures and quality standards.
Job Responsibility:
Assist the Project Team with daily administrative and coordination tasks
Support project execution through effective organization and follow-up
Manage incoming and outgoing project correspondence
Register correspondence in project databases (GAIA, TEMPO, PIMS SE)
Ensure proper internal distribution of documents
Retrieve correspondence from the Client tool (TEMPO), register it internally, and circulate as required
Verify documents prior to archiving
Maintain and update correspondence registers
Manage meeting minutes and weekly reports, including: Numbering and registration, Coordination of signatures, Issuance and distribution, Archiving
Organize travel arrangements for the project task force
Organize meetings and workshops, including: Visitor reception, Meeting room bookings, Coffee breaks and logistics, WiFi access and visitor badges
Organize internal communication and engagement events
