Job Description

The Project Assistant will provide comprehensive administrative and coordination support to the Project Team, ensuring efficient project documentation management, communication flow, and day-to-day project operations in accordance with project procedures and quality standards.

Job Responsibility

  • Assist the Project Team with daily administrative and coordination tasks
  • Support project execution through effective organization and follow-up
  • Manage incoming and outgoing project correspondence
  • Register correspondence in project databases (GAIA, TEMPO, PIMS SE)
  • Ensure proper internal distribution of documents
  • Retrieve correspondence from the Client tool (TEMPO), register it internally, and circulate as required
  • Verify documents prior to archiving
  • Maintain and update correspondence registers
  • Manage meeting minutes and weekly reports, including: Numbering and registration, Coordination of signatures, Issuance and distribution, Archiving
  • Organize travel arrangements for the project task force
  • Organize meetings and workshops, including: Visitor reception, Meeting room bookings, Coffee breaks and logistics, WiFi access and visitor badges
  • Organize internal communication and engagement events
  • Manage logistics activities (office moves, floor reorganization, etc.)
  • Manage user access to project tools and systems
  • Monitor and manage project mailboxes
  • Update dashboards and tracking tools (leave planning, contact lists, etc.)

Requirements

  • Previous experience as a Project Assistant, ideally in an EPCC or engineering environment
  • Strong team spirit and excellent communication skills
  • Very good command of English (working language)
  • Proficient in Office 365 tools
  • Strong organizational and time-management skills
  • Ability to work autonomously and in a team environment
  • Adaptable, flexible, and responsive
  • Rigorous and compliant with procedures and quality requirements
