The Project Administrator - Smartsheet is part of HammondCare’s Project Management Office (PMO). They will be responsible for the development, training, user support, and reporting oversight of our PMO tool, currently Smartsheet. Additionally, the individual will assist with other project administration tasks as needed.
Job Responsibility:
Develop and maintain the Smartsheet system to support project management activities
Customise Smartsheet templates and workflows to meet the needs of various projects and initiatives
Implement best practices for Smartsheet usage and ensure data integrity
Provide training sessions to team members and stakeholders on how to effectively use Smartsheet
Assist users with troubleshooting and resolving issues related to Smartsheet
Create and maintain user guides and training materials
Administer and support the Smartsheet Centre of Excellence to promote best practice across the organisation
Oversee the generation of reports through Smartsheet to track project progress and performance
Ensure accurate and timely reporting of project status, milestones, and key performance indicators (KPIs)
Collaborate with project managers to gather and analyse data for reporting purposes
Assist with project planning, scheduling, and coordination
Maintain project documentation, including project plans, schedules, and meeting minutes
Support project managers in tracking project budgets, resources, and timelines
Coordinate project meetings and facilitate communication among project team members
Assist the GM PMO & Transformation with the development of the PMO office
Support the PMO Community with resources and insights
Requirements:
Commitment to engage and align with HammondCare’s Christian Mission, Motivation and Mission in Action
Proficiency using Smartsheet
Proficiency using Excel or other project management tools
Proven experience in project administration or a similar role
Bachelor's degree in Business Administration, Project Management, or a related field preferred not essential
Strong organisational and time management skills
Excellent communication and interpersonal skills
Ability to work independently and as part of a team
Attention to detail and a high level of accuracy
