We are representing a leading Australian systems integration and engineering firm—a key player in the defense sector—seeking a versatile Project Administrator to join their high-performing team in the northern suburbs. This isn’t just a data entry role. You will be the engine room of the project team, providing high-level support that bridges the gap between finance, procurement, and technical delivery.
Job Responsibility:
Assist with project cost tracking, invoicing, and budget monitoring
Ensure all financial data aligns with project milestones
Provide administrative support maintaining project schedules, budgets, project tracking, risk registers, action item registers and other related project management information
Manage end-to-end procurement processes, from raising purchase orders to liaising with suppliers and tracking deliveries for specialized equipment
Proactively tracking long-lead items to ensure they do not cause delays in the project master schedule
Maintaining accurate records of project-specific assets from the point of arrival through to integration or delivery to the client
Assisting in the management of permits and documentation for specialized equipment, ensuring all local and international trade compliance measures are met
Monitoring vendor performance against contractual milestones to trigger progress payments and ensure accountability
Maintain rigorous project files, track deliverables, and assist in the preparation of progress reports for senior stakeholders
Provide administrative support in the preparation of tender responses
Provide administrative support producing project reports, plans, templates, letters and proposals
Act as a central hub for communication between project managers, the finance department, and external vendors
Generating and distributing meeting agendas and minutes
Requirements:
Proven Experience: Significant background in senior administration, ideally within engineering, construction, or defense
Financial Literacy: Strong competency in supporting accounts (AP/AR) and understanding project budgets
Procurement Skills: Experience managing a supply chain or purchasing function within a project environment
Software Proficiency: Advanced skills in MS Excel and experience with ERP or project management software
Proactive Mindset: The ability to look ahead, identify potential bottlenecks in procurement or billing, and solve them before they impact the timeline
