We are seeking a detail-oriented, highly motivated, and organized Program Assistant to support the Community Affairs Division. This role works closely with division leadership and is integral to the administration and development of the Community Mitigation Fund Grant Program. The Program Assistant will also support meeting preparation and coordination for the Gaming Policy Advisory Committee (GPAC) Subcommittees, including scheduling, packet preparation, and taking minutes.
Job Responsibility:
Schedule and coordinate meetings with internal teams, communities, and external stakeholders
Draft and prepare memos, reports, emails, and other communications
Learn and efficiently use the Community Mitigation Fund database system
Attend GPAC Subcommittee meetings, take minutes, and assist with meeting logistics (some in-state travel may be required)
Maintain filing systems, documentation, and records related to the Community Mitigation Fund and GPAC activities
Participate as a member of the Community Mitigation Fund review team
Support the development of annual guidelines, standard forms, templates, and program tracking documents
Prepare meeting agendas, assemble meeting packets, and manage follow-up tasks
Collaborate with team members and leadership to ensure timely completion of program deliverables
Requirements:
3–5 years of experience in a legal secretarial, paralegal, administrative, or executive assistant role
3+ years of experience supporting project management or in a related administrative capacity
Bachelor’s Degree or equivalent
Experience with the administration of grant programs
Strong meeting coordination and scheduling abilities
Excellent written and verbal communication skills with strong attention to detail and proofreading abilities
Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general project management tools
Willingness and ability to learn new systems and databases
Strong research skills and the ability to manage multiple priorities
Ability to develop and implement organizational strategies to achieve program goals
Must pass a comprehensive background check including credit check, CORI, drug screening, and fingerprinting
Nice to have:
