The Program Support Coordinator provides administrative and operational support for workforce development programs and Talent Recruiters. This role assists with participant engagement, program documentation, orientation coordination, and compliance activities related to Workforce Innovation and Opportunity Act (WIOA) programs. The position plays an important role in ensuring participants remain engaged in training or employment plans while supporting program staff with administrative tasks, documentation management, and outreach activities.
Job Responsibility:
Conduct routine check-ins with WIOA participants to support engagement and verify progress toward training or employment goals
Document participant interactions, updates, and case notes within the case management system
Respond to participant inquiries via phone, email, or in-person communication
Assist with scheduling participant appointments, assessments, and follow-up activities
Prepare orientation and workshop materials including agendas, sign-in sheets, presentation materials, and documentation packets
Assist Talent Recruiters during orientations by greeting participants, distributing forms, and helping facilitate a smooth onboarding process
Track workshop and orientation attendance and follow up with participants who miss scheduled sessions
Provide day-to-day administrative support to Talent Recruiters including scheduling, data entry, document preparation, and file management
Maintain accurate participant records and ensure files meet WIOA compliance and audit standards
Assist with intake processes and participant documentation as needed
Support preparation of reports and documentation for internal and external stakeholders
Assist with community outreach activities, job fairs, and partner events representing workforce development programs
Support event logistics including setup, booth staffing, materials preparation, and participant engagement
Build relationships with community partners and assist with recruiting eligible program participants
Ensure timely and accurate data entry in accordance with WIOA reporting requirements
Monitor data quality and assist staff in resolving missing documentation or data discrepancies
Maintain strict confidentiality of participant information in accordance with federal, state, and organizational policies
Requirements:
Experience supporting workforce development programs, career services, or community programs preferred
Strong administrative and organizational skills
Excellent communication and interpersonal abilities
Experience with case management systems, data entry, or program documentation preferred
Ability to work effectively with diverse populations and community partners
