We are looking for a Program Coordinator to support program planning, operational execution, and stakeholder coordination for a Contract position based in Palo Alto, California. This role partners with clinical, administrative, and service teams to organize initiatives, improve workflows, and maintain strong communication across departments. The position also contributes to customer support, marketing logistics, and project documentation while helping ensure activities align with organizational standards and service goals.
Job Responsibility
Coordinate program activities from planning through execution, ensuring timelines, scope, and expectations are clearly defined and tracked
Support initiatives that strengthen internal operations and contribute to service growth by organizing tasks, updates, and follow-through across teams
Arrange and manage workgroups focused on process improvement, and prepare meeting summaries and related communications for stakeholders
Assist with patient-facing coordination by applying knowledge of care coordination processes to help address inquiries and visit-related needs
Oversee logistics for promotional materials, events, and outreach efforts tied to internal and external program activities
Participate in sourcing and evaluation activities for external consultants, contractors, and vendors as needed
Monitor projects for adherence to departmental, hospital, and university policies through consistent quality review practices
Review current business processes, document findings, and recommend practical workflow adjustments to support desired project outcomes
Foster positive and attentive interactions with clients, community members, vendors, and internal partners from diverse backgrounds
Requirements
Bachelor’s degree from an accredited college or university
Experience in program coordination, project support, operations, or a related function, or an equivalent combination of education and practical experience
Working knowledge of project management methods and process improvement principles
Strong ability to organize large amounts of information, identify key details, and produce accurate documentation
Excellent written, verbal, and interpersonal communication skills
Proven ability to manage multiple priorities independently, meet deadlines, and solve problems effectively
Comfort working with diverse stakeholder groups, including clinical, administrative, and international audiences
Ability to handle sensitive information with discretion
