Job Description:

We are looking for a detail-oriented Program Administrator to join our team in Las Vegas, Nevada. In this role, you will support the Early Education Program Team by overseeing financial and administrative processes, including invoice reconciliation, documentation management, and grant-related tasks. This is a long-term contract position ideal for someone with strong organizational skills and experience in accounts payable, accounts receivable, and grant administration.

Job Responsibility:

  • Reconcile and process invoices for submission to the Finance Team, collaborating closely with the Senior Director
  • Coordinate with the Early Education Team and Finance Team to ensure accurate and timely submission of monthly reimbursement requests to funders
  • Manage monthly documentation from early childhood education centers, ensuring compliance with program requirements
  • Provide technical assistance to Nevada Ready partners on budgeting, invoicing, and administrative protocols
  • Build relationships with Early Education community partners to enhance collaboration and improve service delivery
  • Audit and maintain program documentation, including student files, program policies, teacher credentials, and other grant-related materials
  • Input data into Early Childhood dashboards and systems as required by the program
  • Support the Early Education Program Team in maintaining compliance with grant requirements through meticulous record-keeping and reporting
  • Assist with reconciling vendor statements and processing vendor invoices
  • Collaborate with the team to identify opportunities for improving administrative workflows and accuracy

Requirements:

  • Minimum of 2 years of experience in accounts payable, accounts receivable, or similar financial roles
  • Proficiency in Microsoft Excel, including the use of formulas for data analysis
  • Strong skills in invoice processing and vendor reconciliation
  • Familiarity with grant administration and government grant requirements
  • Excellent attention to detail and accuracy in data entry
  • Ability to manage multiple tasks and meet deadlines effectively
  • Strong interpersonal skills for building partnerships with community organizations

Nice to have:

Knowledge of financial systems and dashboards used in early education programs is a plus
