The Production Administrative Assistant serves as the primary administrative support to the Executive Producer of a syndicated morning talk show while also assisting with day-to-day production operations. This role supports multiple aspects of the show's production workflow, including guest coordination, studio operations, research assistance, and intern supervision. The position plays a key role in ensuring a smooth production environment by supporting producers, hosts, guests, and studio teams throughout rehearsals and tapings. The Production Administrative Assistant also helps coordinate logistical elements of studio operations and contributes to maintaining an organized and professional guest experience.
Job Responsibility:
Provide administrative support to the Executive Producer, including scheduling, coordination, and general production assistance
Assist producers with research related to upcoming segments and guest appearances
Coordinate communication between production staff to support daily show preparation and execution
Create, schedule, and publish content across social media platforms
Assist on the studio floor with hosts, guests, and producers during rehearsals and live or taped segments
Greet and escort guests upon arrival and ensure they are directed to the appropriate locations within the studio
Manage dressing room preparation and oversee transitions between shows or segments
Coordinate with production staff to ensure smooth transitions between segments during tapings
Monitor studio load-in and communicate any operational issues to the production team
Work with security and guest services teams to troubleshoot logistical or access issues as they arise
Assist with rehearsals involving hosts and guests to support segment preparation
Serve as the internship supervisor for the production department
Train, mentor, and manage show interns, providing guidance on production processes and daily responsibilities
Assign tasks and ensure interns gain meaningful exposure to the production environment
Requirements:
Minimum of one year of television production experience
Strong organizational and administrative skills with the ability to manage multiple tasks and priorities simultaneously
Excellent communication and interpersonal skills, with the ability to interact professionally with guests, hosts, production staff, and external partners
Ability to work both independently and collaboratively in a fast-paced, deadline-driven broadcast environment
Flexibility to support rehearsals, tapings, and evolving production schedules as required
Demonstrated ability to build and maintain strong working relationships across multiple levels of employees, clients, and external partners
Working knowledge of production coordination and studio operations within a television or media production environment
Strong guest relations skills with a professional and service-oriented approach
Strong problem-solving skills and the ability to adapt quickly in a live or taped production setting
Ability to collaborate effectively with production, security, and guest services teams to support seamless studio operations
Bachelor's degree or equivalent experience required
