We are looking for a Procurement Specialist to support a growing workload and help strengthen day-to-day purchasing operations for a contract position. This role will manage procurement activities from initial planning through final award and documentation, while partnering with internal departments to define needs and prepare effective sourcing materials. The ideal candidate brings experience in construction-related purchasing, strong administrative coordination skills, and confidence working with procurement systems and advanced Excel tools.
Job Responsibility
Lead end-to-end procurement activities, overseeing each stage from request intake through contract or purchase order completion
Partner with department stakeholders to gather requirements, clarify business needs, and shape clear scopes of work for competitive sourcing events
Conduct market analysis to identify vendor options, pricing considerations, and sourcing strategies that support informed purchasing decisions
Support procurement efforts tied to construction-related services and projects, ensuring documentation and bid materials are complete and well organized
Provide administrative support for procurement operations, including maintaining records, tracking approvals, and coordinating documentation workflows
Use tools such as DocuSign, PeopleSoft, Bonfire, and Excel to manage sourcing activities, reporting, and contract-related records
Assist teams across multiple operating areas, including water and aviation-related functions, while working from City Hall
Help maintain compliance with established procurement policies and contribute to process consistency as procedures continue to develop
Support procurement data cleanup efforts and assist with responsibilities connected to the transition to Workday, as needed
Requirements
Experience managing corporate procurement activities across the full purchasing lifecycle
Background in developing purchase orders, coordinating buying processes, and supporting broader procurement functions
Ability to conduct market research and translate stakeholder needs into well-defined scopes of work
Experience with contract negotiations and vendor-facing procurement communication
Familiarity with procurement platforms such as PeopleSoft, Bonfire, and DocuSign
Strong Excel skills, including the use of pivot tables and VLOOKUPs
Procurement experience related to construction, public sector, or similarly regulated purchasing environments is strongly preferred
