The Procurement Coordinator is responsible for overseeing suppliers and contracts for their assigned categories, JLL client sites, and/ or suppliers, and will work with a cross functional team to source, contract, and manage, suppliers’ delivery of a variety of goods or services to the JLL client, consistent with the agreed scope of work, service level and funding. The Procurement Coordinator will also contribute to various client-level key performance indicators (KPIs) such as generating savings and delivering overall sourcing program compliance. The Procurement Coordinator’s scope will span a variety of integrated facilities management (IFM) or similar spend categories, and related suppliers, like Fire Life Safety, Elevators, Grounds, Pest Control, and similar subcategories as needed to support the JLL client.
Job Responsibility:
Support JLL and JLL client teams by answering questions related to the contracts process and provide data entry / management support related to sourcing technology platforms (e.g. Jaggaer & Corrigo)
Maintain data integrity of our request for proposal (RFP), contracts, and other, similar databases and reporting tools
Ensure pre-defined due diligence is completed for new supplier on-boarding, including procurement systems (e.g. Corrigo) administration
Administer contract and supplier files to maintain compliance with JLL and JLL client requirements, for example related to certificates of insurance (COIs), contract amendments, task orders, notice letters, and other contract communications
Engage and coordinate various cross functional teams (e.g. operations, legal, etc.) to prioritize, coordinate and execute contract amendments with suppliers
Deliver on tasks related to incoming/outgoing supplier-related transitions plans, assessing the need for and communicating any required contract changes
Validate compliance by auditing sourcing and contract files against established policies and procedures
Build and leverage relationships with internal teams to coordinate efficient review and approval of contract changes e.g. by JLL or JLL client legal and risk management teams
Track all correspondence and authorizations, and incorporate where appropriate into supplier files
Engage in RFPs and other strategic projects
Requirements:
3+ years vendor relationship management experience
Able to demonstrate a professional career and subject matter expertise within IFM
High degree of maturity, ethics and professionalism to help ensure control of the company’s contractual obligations
Possess strong written, verbal and interpersonal skills
Strong computer background with proficiency in Word processing, spreadsheet
Ability to multitask and possess proven organization skills
