Job Description

A Single Family Office in New York is seeking an exceptional Private PA to support the Head of Family Office and the Principal. The position would suit a highly adaptable, fast-paced, and proactive PA who thrives in an ever-changing environment and is comfortable operating with minimal instruction. Occasional travel will be required, as the Principal also moves between UAE, London, and Switzerland.

Job Responsibility

  • Full management of day-to-day logistics, including complex and last-minute travel arrangements (domestic and international)
  • Handling social obligations, reservations, events, and personal scheduling
  • Personal shopping and lifestyle support
  • Correspondence management (email, written communications, coordination with global teams)
  • Oversight of household financial elements, including bill payments and tracking
  • Domestic housekeeping management, ensuring smooth operation of the Principal’s residence
  • Acting as a highly discreet, trusted point of contact for the Principal
  • Providing support across multiple time zones
  • occasional travel may be required
  • Maintaining a strong black book of New York vendors, contacts, and services
  • Delivering consistent, structured, and process-driven administrative support

Requirements

  • Demonstrated experience in a private office for a high-profile principal, UHNW household, family office, or financial services/investment
  • Must be highly “on the pulse” with New York — aware of the latest openings, restaurants, services, cultural happenings
  • Highly organised, fast-thinking, and able to juggle shifting priorities with ease
  • A proactive self-starter who can work with limited information and anticipate needs
  • Comfortable with a 24/7 availability mindset when required
  • Strong discretion and confidentiality
  • Excellent communication skills
  • Must live within easy reach of the Upper East Side

Nice to have

Fluency in German would be a plus
