Job Description:

We’re looking for a Practice Assistant - Wills & Estates to support our lawyers across probate and estate administration matters. This role is designed for someone early in their legal career who wants hands-on exposure to how estate matters move through the legal system - from client intake through to administration. You’ll work closely with lawyers to support file management, client communication and legal documentation, ensuring matters progress smoothly and clients feel supported throughout what can be a complex and emotional process. For the right candidate, this role offers a clear development pathway into a Paralegal position within 12-18 months, as you build experience and capability in estate administration.

Job Responsibility:

  • Support lawyers with probate and estate administration matters from intake through to administration
  • Maintain accurate electronic and physical matter files
  • Assist with document management including scanning, filing and maintaining digital records
  • Prepare and organise documents and correspondence for legal matters
  • Monitor file progress and assist lawyers to keep matters moving efficiently
  • Manage safe custody documentation including storage, retrieval and register maintenance
  • Act as an initial point of contact for client enquiries
  • Answer and triage inbound calls and direct enquiries appropriately
  • Coordinate client meetings, room bookings and lawyer schedules
  • Welcome clients to the office and support a calm, professional client experience
  • Assist lawyers with meeting preparation and document compilation
  • Manage incoming and outgoing mail, including court and client correspondence
  • Assist with document handling, printing and scanning where required
  • Support general practice administration to ensure the legal team operates smoothly
  • Contribute to improving workflows and systems as the practice grows

Requirements:

  • Highly organised with strong attention to detail
  • Professional and friendly when working with clients
  • Calm and empathetic when supporting people through sensitive situations
  • Curious and eager to learn how legal matters are managed
  • Reliable, proactive and comfortable working in a busy legal practice
  • Experience with Microsoft Office or Google Workspace is helpful
  • Previous experience in a law firm or professional services environment is beneficial but not essential
