Job Description:

We are seeking a highly organized, detail-oriented Planning Administrative Assistant with a strong administrative and operations background to support our busy industrial manufacturing and distribution environment. This role is critical in alleviating workload from an overextended team member currently managing multiple jobs. This individual will play a key role in tracking jobs, coordinating parts and resources, entering and managing data in SAP (or similar ERP), and ensuring planning operations run efficiently. We are looking for a proactive, forward-thinking self-starter who thrives in a fast-paced industrial setting and is ready to make an immediate impact.

Job Responsibility:

  • Track and manage active jobs within SAP/ERP system
  • Enter, update, and maintain accurate job data and planning records
  • Kit and resource parts needed for overhauls and projects
  • Coordinate with Purchasing to confirm availability and pricing of parts
  • Communicate with vendors, internal stakeholders, and corporate teams via phone and email
  • Resolve SAP entry errors and maintain data integrity
  • Assist with refining schedules and tracking overtime
  • Monitor and report department OPEX metrics
  • Resolve timekeeping discrepancies and make Kronos/SAP entries
  • Coordinate with HR to monitor attendance compliance
  • Support planning department administrative structure and compliance standards
  • Collect and analyze operational data for reporting and modeling
  • Provide general administrative and operational support

Requirements:

  • Experience in an industrial environment (manufacturing or distribution strongly preferred)
  • ERP system experience is REQUIRED (SAP strongly preferred)
  • Strong administrative and operations background
  • Excellent verbal and written communication skills
  • Detail-oriented and highly organized
  • Ability to manage multiple priorities in a high-volume environment
  • Self-starter with a problem-solving mindset
  • Team player who communicates effectively across departments
  • Forward-thinking and proactive in identifying needs
  • Minimum 2 years of relevant experience
  • Proficiency in SAP or similar ERP system (Required)
  • Kronos experience preferred but not required
  • Advanced Microsoft Excel skills
  • Proficient in MS Office and SharePoint
  • Strong data entry accuracy and reporting experience
  • Ability to work independently while supporting a collaborative team
