Pipeline Development Specialist, Affiliations. We are looking for a driven and detail-oriented Pipeline Development Specialist to join our Business Development team. In this role, you will own the full lifecycle of prospect engagement—from sourcing and cleaning contact data in our CRM, to building and executing outreach campaigns that generate qualified leads with dental practice owners. You will work closely with the broader business development team to ensure our pipeline is healthy, accurate, and actively worked. This is a high-impact role that sits at the intersection of data integrity and proactive outreach. You will be a key contributor to transforming a large database of prospects into an organized, segmented, and thoroughly followed-up pipeline—making sure no opportunity slips through the cracks as we continue to grow our presence in dental markets nationwide.
Job Responsibility
Source new affiliation leads across all channels—practice owners, brokers, CPAs, and other referral partners.
Build, launch, and manage targeted outreach campaigns within the CRM to engage dental practice owners and generate qualified leads.
Conduct outbound prospecting activities including cold calling and email outreach to develop new opportunities.
Stay in frequent contact with existing and past owners to uncover new opportunities and maintain warm relationships.
Partner with third-party companies to engage prospects and drive deal flow.
Actively represent Heartland Dental at trade shows, dental conferences, and industry events to build visibility and generate leads.
Manage and maintain the prospect database (CRM), ensuring accuracy, completeness, and integrity of all contact records.
Identify and resolve duplicate records, missing data, and outdated information—enriching records with key details such as practice name, ownership, contact info, and specialty.
Work collaboratively with the team to systematically clean and activate a large volume of existing prospect data.
Track all outbound activity, prospect interactions, and pipeline updates within the CRM on a consistent basis.
Provide input to and maintain alignment with other company pipeline systems and reporting tools.
Segment large contact lists by geography, practice profile, engagement history, and outreach status to enable targeted, relevant outreach.
Establish and maintain a structured follow-up cadence to ensure all prospects are properly sequenced and none are overlooked.
Identify and qualify key attributes of potential leads, understanding what makes a strong fit for affiliation.
Meet regular quotas for outreach activity and qualified leads generated.
Flag high-priority leads for escalation to the business development team with full context for smooth handoff.
Work closely with the business development team to qualify leads and support a coordinated approach to new and existing markets.
Help develop targeted go-to-market strategies for markets where Heartland Dental has or is building a presence.
Continuously cultivate positive relationships with lead sources to build a reliable referral network over time.
Collaborate cross-departmentally to increase deal flow and support company growth objectives.
Identify opportunities to improve processes, tools, and outreach strategies to enhance performance across the team.
Requirements
Bachelor’s degree in business or a related field required.
Self-motivated and driven to achieve goals, with a track record of meeting or exceeding quotas.
Hands-on experience managing prospect or customer data in a CRM, including data entry, deduplication, segmentation, activity tracking, and reporting.
Strong written and verbal communication skills, with the ability to craft compelling outreach and communicate clearly across all levels.
Ability to cold call prospects and manage high-volume outbound activity with consistency and professionalism.
Ability to segment large prospect lists by geography, specialty, ownership type, engagement status, and other relevant criteria.
Comfort tracking outreach metrics, pipeline activity, lead status, and conversion performance.
Strong attention to data accuracy, CRM hygiene, and process consistency.
Willingness to travel overnight approximately once per month and flexibility to travel at least quarterly.
Ability to periodically work outside of normal business hours as needed.
Nice to have
2+ years of experience in a related field with hands-on CRM database management (ideally HubSpot and/or Microsoft Dynamics).
The ideal candidate will reside in the Midwest or Eastern region, close to a major airport.
Experience in healthcare, dental, or multi-site B2B sales environments.
Recruiting or call center experience.
Familiarity with data enrichment tools (e.g., ZoomInfo, Apollo, LinkedIn Sales Navigator).
Experience building or managing outbound email sequences or cadences.
Strong computer skills and comfort learning new platforms quickly.
