Job Responsibility:
Performs complex secretarial and administrative duties, in a fast-paced environment with minimal direction and considerable latitude for independent judgment in support of the Pulmonary Clinic
Serves as primary contact for providers, manages calendar when applicable, manages providers clinic schedule based on provider templates and preferences for the Pulmonary Procedure Team
Reviews the clinical schedules on a continuous basis to identify for optimizing the time and effort of the providers
Anticipates needs of insurance companies by gathering all necessary information for referrals and prior authorizations
Researches patient medical record for information requested by physicians, insurance companies and attorneys
Edits and completes incoming form requests for provider signature
Manages and edits provider procedure calendars
Receives incoming patient telephone calls for attending (s), fellow (s) and nurse practitioner(s) via eRecord or Access Center transfer call, managing and/or resolving various scheduling/coordination issues and answering questions as needed
Reviews electronic chart work queues, in baskets and pools for continual management and triaging
Schedules outgoing referral requests, which are time sensitive
Reviews and manages order and order information queues, coordinates outgoing consult requests in the work queue
Obtains outside medical records and imaging for future appointment
Uploads outside images to PACS for provider review
Coordinates scheduling of patients and referral consults
Obtains patient medical records and imaging to facilitate patient care
Works with faculty and clinic representatives to maintain clinic schedules, instruct appointment scheduling staff and the Access Center regarding schedule changes, and proactively reviews future schedules to identify problems
Verifies all patient registration information is correct and up to date
Handles patient complaints and solves
Identifies areas of improvement, notifies supervisor, and implements as directed
Provides back up scheduling, referral, and prior authorization support for the Division
Assembles, from multiple tabs in the electronic record, the necessary details for review and conclusion when completing forms
Assesses calls to understand patient needs, prioritizes medical concerns and obtain responses from providers and follows up with patient when instructed
Performs other duties for supervisor as directed including attending meetings relevant to clinic operations, working on special projects for Ambulatory Care, and working with faculty practices or other provides on special projects
Provides back up coverage for the office manager and OAS staff when out of office during vacations or illness

Requirements:
High School Diploma required
Minimum of 2 years of relevant experience required
or an equivalent combination of education and experience
Medical Terminology, experiences with surgical/appointment scheduling software (such as Flowcast), and electronic medical records, preferred
Demonstrated customer relations skills
