Our Construction group is now looking for a Personnel Logistics Coordinator to support our project operations in St. John's, NL.
Job Responsibility:
Track movement of personnel on project sites and work locations
Responsible for updating the Personnel On Board (POB) planner for work locations (sites & offshore) with work schedules/rotations, vacation, mobilization delays, and training
Support task Leads with the travel authorizations and mobilization requests
Liaison and act as focal point for communication of POB requirements to vendors, subcontractor providers, and Client Logistics contact
Communicate mobilization and demobilization dates and/or travel arrangements to personnel
Issue weekly POB reports to internal stakeholders and Management
Maintain Discipline forecasts for resources based on inputs from the Construction team
Interface with Training Coordinator and HSSE Advisor of mobilizations to obtain required certifications/clearance for travel as per Adhoc Mobilization process
Track rest periods to adhere to Fatigue Management requirements
Participate in Construction meetings, Discipline meeting, and Vendor/Subcontract provider
Assist Cost/Finance with tracking of travel expenses, timesheet, and leave queries
Support Subcontracts with vendor invoice queries
Flexibility to work evenings, weekends and holidays to provide personnel logistics support as required
Requirements:
Diploma in Business Administration, Office Administration, Supply Chain and Logistics, or an equivalent combination of education and work related experience
5 - 8 years’ experience within an Administrative role dealing with travel, accommodations, or other logistics support functions
Skilled planner with the ability to organize information and inputs
Strong proficiency with MS Office Suite
Ability to effectively communicate and present information to internal and external stakeholders (peers, customers, clients, and management)
