Part-time Personnel and Payroll Specialist for an IT company specializing in web, mobile, low-code, and AI solutions. The role involves comprehensive HR and payroll support for employees, considering the specifics of the IT industry and an international team.
Job Responsibility:
Maintaining personnel records (contracts, employee files, contract expiration tracking, medical checkups, occupational health and safety)
Preparing and processing payroll, including civil law contracts
Calculating and submitting contributions to ZUS, PIT, PPK
preparing reports and income statements
Processing sick leaves, vacations, business trips, and other types of absences
Supporting legalization of stay and work permits for foreign employees
Preparing document packages for hiring, changing employment conditions, and offboarding
Communicating with clients and government institutions (ZUS, US), preparing required documentation
Supporting systems, including filling out official bank forms and documents in foreign languages
Ensuring internal documentation complies with legal requirements and company standards
Preparing internal regulations and guidelines related to payroll and remote work
Requirements:
Minimum 5 years of experience in a similar position
Proven experience working in companies employing foreign staff
In-depth knowledge of Polish labor law, payroll calculation, ZUS, PIT, and PPK
Hands-on experience with Enova 365, Wfirma, Płatnik, or similar systems
Strong attention to detail, accountability, and excellent organizational skills
Ability to manage a high volume of documentation and data
Polish language: C1–C2
English language: A2 (basic communication)
Availability to attend the Warsaw office once a week
Willingness to be reachable during standard working hours for critical matters
Nice to have:
Russian language: a plus
