Job Description:

We are looking for a skilled and proactive personal injury legal assistant to provide essential support to attorneys and legal teams in a dynamic environment. The ideal candidate will help ensure the smooth operation of legal processes by managing documentation, coordinating schedules, and maintaining confidentiality. This role is perfect for someone with a strong attention to detail and a commitment to delivering high-quality assistance in a fast-paced personal injury department.

Job Responsibility:

  • Offer comprehensive administrative support to attorneys, including drafting and editing legal documents, correspondence, and reports
  • Prepare, proofread, and format legal materials such as contracts, pleadings, briefs, and memos while ensuring accuracy and adherence to established standards
  • Oversee the management of physical and electronic filing systems to ensure efficient organization and quick retrieval of documents
  • Coordinate schedules for attorneys, including court dates, client meetings, and deadlines, while resolving scheduling conflicts as needed
  • Conduct basic legal research to locate case law, procedural rules, or other relevant information upon request
  • Assist with billing tasks, including preparing client invoices, tracking time, and processing expense reports
  • Facilitate the organization of meetings by booking venues, preparing agendas, and managing follow-up actions
  • Uphold strict confidentiality standards when handling sensitive client and firm-related information

Requirements:

  • At least 5 years of experience in a Legal Assistant, Legal Secretary, or similar role within a personal injury department
  • Proficiency in legal terminology and procedures, along with experience in document formatting and management
  • Advanced skills in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook
  • Strong communication abilities, both written and verbal, with exceptional attention to detail
  • Proven ability to multitask, prioritize, and meet deadlines in a fast-paced setting
  • Familiarity with e-filing systems used in state and federal courts
  • Experience with billing and practice management software such as Clio or Time Matters is preferred
