Job Description

We are seeking a highly professional, reliable, and proactive Personal Assistant to provide comprehensive support to a high‑profile individual based in Malta. The successful candidate will be discreet, exceptionally organised, tech‑savvy, and comfortable working with minimal supervision. This role involves frequent travel and requires excellent written and spoken English.

Job Responsibility

  • Manage complex calendars and schedules
  • coordinate meetings, appointments, personal commitments, and reminders
  • Arrange all aspects of travel including flights, accommodation, transfers, visas, itineraries and VIP services
  • manage last‑minute changes and ensure timely updates
  • Screen, prioritise and respond to communications
  • draft correspondence and ensure critical items are actioned promptly and professionally
  • Coordinate with household staff and external service providers (cleaners, chefs, drivers, gardeners, maintenance, contractors) to ensure smooth operations
  • Handle errands including personal shopping, gifts, returns, bookings and deliveries, both locally and while travelling
  • Process invoices, expense claims and reimbursements
  • perform basic bookkeeping and liaise with accountants as required
  • Plan and manage private events, dinners, business meetings and premium reservations
  • Manage sensitive documents such as contracts, NDAs and personal records with the highest level of discretion
  • Oversee personal and household projects including renovations, relocations and other logistical initiatives
  • Coordinate medical appointments, wellness activities, coaching and personal development sessions

Requirements

  • English: Fluent (written & spoken) – mandatory
  • Additional languages advantageous (for example Mandarin, Japanese, Korean, Spanish)
  • Exceptional organisational and time‑management skills
  • High emotional intelligence, diplomacy and interpersonal skills
  • Strong technical proficiency with G‑Suite, Microsoft Office and common scheduling/messaging tools
  • Proven ability to maintain confidentiality, integrity and discretion at all times
  • Calm under pressure with excellent problem‑solving skills
  • Willingness to be flexible with hours and provide occasional support during evenings and weekends
  • Valid passport and flexibility to travel frequently
