Our client is seeking a dedicated and proactive Personal Assistant to support the Directors' day-to-day administrative functions. This role is pivotal in ensuring smooth operations and includes diary management, handling emails and correspondence, assisting with company documentation, and performing general administrative tasks.
Job Responsibility:
Manage diaries, emails and correspondence for 4 Directors
Respond to incoming calls and ad hoc requests promptly
Organise meetings, including agendas, minutes, room bookings and follow ups
Process Director expenses
Prepare reports, presentations, company invoices, and other confidential documents
Attend site meetings with Directors
Accurately record and present meeting minutes
Support Directors with contract administration tasks
Set up and format new documents and templates
Provide cover for Team Administrator when necessary
Collaborate with Business Manager and HR to ensure a smooth operation of the Senior Management team
Requirements:
Experience supporting at Director level
Proficiency in Outlook, Excel, Word and PowerPoint
Maintain strict confidentiality of sensitive information
Excellent attention to detail
Strong communication skills, both verbal and written
Ability to organise your own workload
Ability to present information accurately and coherently
Proven ability to work effectively with Senior Executives
Ability to remain calm under pressure
Proactive, self-motivated, and enthusiastic with a keen willingness to learn
Must be a driver and car owner due to location of business and need to attend site meetings
