Job Responsibility
Provide top-notch secretarial and administrative support to officers and team members, ensuring efficient workflow
Manage officer diaries, schedule meetings, and coordinate conference calls, video conferencing, and webinars
Draught and proofread executive documents, letters, and presentations, ensuring high standards are met
Book travel and hotel accommodations for officers as needed
Oversee incoming emails from various inboxes, flagging issues to ensure nothing is overlooked
Maintain an organised central database and assist with tracking responses to routine inquiries
Contribute ideas to streamline administrative functions and improve efficiency
Requirements
Advanced knowledge of Microsoft 365, including Word, Excel, PowerPoint, Outlook, SharePoint, and OneDrive
Familiarity with database software and survey platforms is a plus
Demonstrable experience in secretarial and administrative roles, with the ability to implement change through technology
Excellent verbal and written communication skills, with a knack for drafting high-quality documents and managing correspondence
Ability to prioritise tasks effectively, manage multiple priorities, and maintain digital filing systems
Experience working within a busy team environment, contributing positively to team dynamics
Previous experience as a Personal Assistant or in a similar administrative role
Secretarial or typing qualifications are desirable
English Language qualification equivalent to Level 2 (as defined by gov.uk) is preferred
