Job Description:

Personal Assistant & Business Coordinator position in the creative marketing industry, providing comprehensive support to the Managing Director with both business and personal administrative tasks in a hybrid work environment

Job Responsibility:

  • Manage the MD's priorities: capture, structure, and ensure daily/weekly tasks are executed
  • Monday Morning Meeting - lead and document priorities, targets, and actions for the week
  • Wednesday On-Track Meeting - run the check-in with the delivery team to ensure all client work is progressing to deadline
  • Maintain and update Zoho CRM for sales pipeline, client activity, and team actions
  • Keep Zoho Projects organised and maintained for client delivery: adopt and enforce the agency's scope process, ensure project tracking is completed correctly every month and quarter, and hold the delivery team accountable for updating tasks
  • Prepare reports from Zoho CRM and Zoho Projects for weekly/monthly reviews
  • Ensure team members are clear on priorities and held accountable for results
  • Standardise and enforce processes across the agency
  • Support light HR administration (holiday/sickness tracking, onboarding paperwork, basic records)
  • Process & Tech Improvements - identify opportunities to streamline operations, implement new processes, and leverage technology/tools to improve efficiency
  • Manage MD's diary, travel, and appointments (business + personal)
  • Handle personal admin including household coordination, bookings, purchases, and errands
  • Be a trusted first point of contact for personal and business matters
  • Provide flexibility for ad-hoc support across business and personal life to keep the MD focused

Requirements:

  • Proven experience as a PA, EA or Business Coordinator
  • Highly organised, proactive and confident running meetings
  • Excellent communication skills, able to hold others accountable with tact and firmness
  • Strong systems experience
  • confident with Zoho CRM, Zoho Projects, and Microsoft 365
  • Able to identify and implement new processes and technologies
  • Familiarity with HR administration is helpful
  • Full UK driving licence and access to a vehicle (essential)
  • Discretion and confidentiality at all times
