You will provide high-quality administrative and organisational support to two senior executives in Admiral Pioneer, ensuring the smooth and efficient running of their day-to-day activities. The role requires excellent organisational skills, discretion, the use of initiative and the ability to work effectively with senior management, staff at all levels, customers and external visitors/suppliers, and the ability to manage multiple priorities in a fast-paced environment.
Job Responsibility:
Provide comprehensive administrative support to two senior executives on a day‑to‑day basis, manage complex diaries independently (including scheduling meetings, prioritising appointments, resolving conflicts, and discussing priorities every week), and help prioritise Outlook Inbox as required
Organise meetings, prepare agendas, take minutes where required, follow up on actions, and prepare and distribute meeting packs and other meeting information or presentations
Carry out other administration tasks such as arranging travel and accommodation when required, managing expenses, and external providers invoicing
Organise induction and onboarding for new joiners, organising relevant IT hardware, software/file access and onboarding meetings where needed
ensuring direct reports have regular one‑to‑ones and appraisals, and supporting direct reports as required
Work closely with a network of PAs around the business on a regular basis, including in other countries/time zones, to ensure cohesion for senior management across the Admiral entities
Requirements:
Excellent organisational skills, with a proactive approach to administration and the ability to anticipate needs and flag opportunities to improve time allocation and support the wider team
Experience supporting and communicating with senior individuals and external stakeholders, maintaining a professional manner at all times, along with strong confidentiality and discretion
Flexibility to support a changing workload and managers, being adaptable and responsive in a fast‑paced environment, and able to work both autonomously and as part of a team
High level of attention to detail and accuracy, advanced knowledge of Microsoft Office, and the ability to identify issues quickly and propose effective solutions
