As a Personal Assistant to the CEO, you will be managing the CEO office and working closely with the top Executives of Westwing, Europe’s #1 premium destination for Home & Living, which combines exceptional design with a focus on sustainability. As the heart of the company, you shape Westwing’s culture through the excellence and dedication with which you lead the CEO office. You ensure that our Executives are empowered to focus entirely on their highest priorities and conduct key decisions in the right forums. In this role, you are in charge of complex calendar and e-mailbox management, take the lead in organising high-level meetings and conferences, and handle all travel arrangements as well as diverse ad-hoc requests. You act as a strategic gatekeeper with a confident and warm presence, ensuring a professional and welcoming atmosphere at our headquarters. This position is permanent and based in Munich.
Job Responsibility
Working closely with the CEO, CFO and CMO of Europe’s #1 premium destination for Home & Living, leading the Executive Office and acting as a central touchpoint for internal and external enquiries
Coordinating and managing day-to-day organisational tasks, including full diary and inbox management for the CEO, as well as providing comprehensive administrative support, meetings, and correspondence management for the CMO and CFO
Arranging complex travel and accommodation and managing related expenses and payments
Coordinating all Supervisory Board appointments and managing high-impact event projects, with a primary focus on leading the organisation of CEO Roadshows, Executive Offsites, and the coordination and setup of the Monthly Group Allhands
Managing key stakeholder relations and organising high-level meetings and conferences to ensure seamless board and meeting operations
Working closely with other Executives’ PAs, Westwing’s Office Management, and team members across the company to foster cross-departmental collaboration and ensure seamless processes
Requirements
Several years of executive-level support experience, and/or relevant experience or education as a Personal Assistant, or in hotel management, office management, or a similar field
The ability to thrive in a fast-paced, dynamic environment and adapt to changing priorities with high resilience
Extraordinary organisational skills, a high level of diligence and a strong eye for detail
Quick grasp of complex situations and the confidence to make decisions independently
A warm and service-oriented personality who brings a strong professional presence and a proactive, welcoming attitude to our headquarters
Expertise in managing strict deadlines and competing priorities across multiple executive calendars
Full proficiency in Microsoft Office (Word, Excel, Outlook), supplemented by the Google Office suite (Docs, Sheets, Slides)
Excellent social and communication skills with full fluency in both English and German
