Job Description

As a Personal Assistant to the CCO, COO, and CTO, you will be managing the Executive Offices for our commercial, operational, and technology leaders, working closely with the top Executives of Westwing. As a vital heartbeat of the company, you shape Westwing’s culture through the excellence and dedication with which you keep these offices running seamlessly. You ensure that our Executives are empowered to focus entirely on their highest priorities and conduct key decisions in the right forums. In this role, you are in charge of complex calendar and email management, take the lead in organising high-level meetings and workshops, and handle all travel arrangements as well as diverse ad-hoc requests. You act as a strategic gatekeeper with a confident and warm presence, ensuring a professional and welcoming atmosphere at our headquarters. This position is permanent and based in Munich.

Job Responsibility

  • Work closely with the CCO, COO, and CTO of Europe’s #1 premium destination for Home & Living, managing their respective offices and acting as a central touchpoint for internal and external enquiries
  • Coordinate and manage day-to-day organisational tasks, including full diary and inbox management across multiple executive calendars, as well as providing comprehensive administrative, meeting, and correspondence support
  • Arrange complex domestic and international travel and accommodation, and manage related expenses and payments
  • Manage high-impact event projects, taking the primary lead in organising Executive Offsites, commercial/operational workshops, and team events
  • Manage key stakeholder relations and organise high-level meetings and cross-functional syncs to ensure seamless operations across the Commercial, Operations, and Tech divisions
  • Work closely with other Executives’ PAs, Westwing’s Office Management, and team members across the company to foster cross-departmental collaboration and ensure seamless processes

Requirements

  • Several years of executive-level support experience, and/or relevant experience or education as a Personal Assistant, or in hotel management, office management, or a similar corporate field
  • The ability to thrive in a fast-paced, dynamic environment and adapt to changing priorities with high resilience and calm professionalism
  • Extraordinary organisational skills, a high level of diligence, and a strong eye for detail when balancing the needs of multiple leaders
  • Quick grasp of complex situations and the confidence to make decisions independently as a strategic gatekeeper
  • A warm and service-oriented personality who brings a strong professional presence and a proactive, welcoming attitude to our headquarters
  • Proven expertise in managing strict deadlines and competing priorities across multiple executive schedules simultaneously
  • Full proficiency in Microsoft Office (Word, Outlook), supplemented by the Google Office suite (Docs, Slides)
  • Excellent social and communication skills with full fluency in both English and German
