Job Description

The Payroll Tax Specialist reports to the Payroll Tax Supervisor. This position is responsible for processing, reviewing, and ensuring compliance of payroll taxes for clients across the United States. This role requires strong attention to detail, knowledge of tax regulations, and the ability to manage multiple deadlines in a fast-paced environment.

Job Responsibility

  • Develop and maintain knowledge of federal, state, and local payroll tax laws, regulations, and best practices
  • stay current as requirements change
  • Accurately and timely file original and amended payroll tax returns at federal, state, and local levels
  • Review and monitor payroll records to ensure tax transactions are recorded correctly
  • Audit new client setups to confirm proper configuration of tax codes and related items
  • Generate, audit, and correct w-2's as required
  • Support client retention by delivering clear, professional, and responsive customer service via phone and email
  • Collaborate with internal teams and departments to ensure accurate and timely payroll tax processing
  • Adhere to all department and company standard operating procedures
  • Maintain accurate and organized records and documentation
  • Utilize tax software and digital tools to manage client accounts efficiently and in compliance with regulations
  • Available to work extended hours during peak quarterly tax seasons
  • Perform other duties as assigned

Requirements

  • 2-3 years of experience in payroll, tax, accounting, or a related field preferred
  • Basic understanding of payroll tax processes, with a willingness to learn federal, state, and local payroll tax laws and regulations
  • Ability to work in a fast-paced, deadline-driven environment with strong attention to detail and accuracy
  • Ability to work both independently and collaboratively within a team
  • Strong communication and critical thinking skills
  • Excellent organizational and time management abilities
  • Proven ability to provide top-level support to customers and associates
  • Proficiency in Microsoft Office
  • ability to learn new software applications as needed

Nice to have

  • Experience processing payroll taxes across multiple companies
  • Experience with Multi-State payroll tax processes
  • Experience in MasterTax or Foundation Software preferred
  • Construction payroll experience is a plus
