Job Description

We are looking for a dedicated Payroll Tax Specialist to join our team in Menlo Park, California. In this role, you will oversee payroll tax management, compliance, and reporting for a non-profit organization. This is a long-term contract position offering the opportunity to work in a dynamic environment while ensuring accuracy and regulatory adherence in payroll operations.

Job Responsibility

  • Reconcile quarterly and annual payroll tax returns and filings to ensure accurate reporting
  • Audit and maintain compliance with remote work state regulations, including reciprocity requirements
  • Review and manage unemployment insurance across multiple states, assessing organizational status and handling reimbursable accounts
  • Respond to tax agency notifications and inquiries that require specialized attention
  • Prepare and reconcile 990 forms, aligning them with W-2 data for accurate tax reporting
  • Oversee W-2 and W-2C reporting processes, ensuring timely and accurate submissions
  • Monitor payroll cycles against compliance reports to identify and resolve discrepancies
  • Stay informed on payroll tax laws to maintain regulatory compliance
  • Generate quarterly reports for third-party entities and specific state requirements such as New York and Hawaii
  • Create and submit required business tax headcount and compensation reports, along with other specialized payroll data reporting

Requirements

  • Minimum of 3-5 years of experience in payroll tax management, preferably in multi-state environments
  • Proficiency in handling full-cycle payroll processes for organizations with over 500 employees
  • Expertise in multi-state payroll operations, including remote work compliance
  • Strong knowledge of ADP Workforce Now and payroll reporting tools
  • Advanced skills in Excel for data analysis and reconciliation
  • Detail-oriented with excellent organizational and auditing capabilities
  • Solid understanding of payroll tax regulations and reporting requirements

Familiarity with Smart Compliance systems is a plus
