The Payroll Tax Coordinator position works with Addus’ third-party payroll tax vendor, ADP, and Management to ensure accurate and timely payment of company and employee wages and taxes. Also helps to maintain compliance with federal, state, and local regulations for payroll taxes. Key duties include answering employee questions on federal, state and local taxes, ensuring that all notices from various tax agencies are uploaded into ADP and addressing issues from ADP on any company or employee tax items. The position will also be responsible for audits on tax deductions/withholdings, quarterly/annual tax returns (W-2s), and resolving discrepancies, and updating employee records.
Job Responsibility:
Assists Management and ADP in the review of all payroll tax payments and filing of federal, state and local withholding and unemployment taxes in the U.S.
Supports Management in quarter-end and year-end reconciliations of all payroll tax liabilities
assists in payroll tax adjustments as needed to bring W-2, 941 files and other state and local taxes into balance
Analyzes pay records to determine correct taxation setup for employees and the company. Maintains employee taxation setup in accordance with federal, state and local regulations as communicated by ADP
Responsible for assuring tax and SUI updates are input timely and accurately into the ADP system
Assists ADP Tax Services in responding to all tax notices and governmental correspondence. This will include, but is not limited to, tax overpayments and/or refunds, as well as penalty and interest claims
Assists in the analysis of all mergers and acquisitions to ensure tax requirements are thoroughly completed
Resolve payroll tax inquiries/issues for employees
help create W-2Cs or payroll tax amendments when necessary
Performs other responsibilities, duties and special projects as assigned
Adhere to HIPAA compliance
Maintains confidentiality of all payroll information and PHI
Requirements:
Bachelor’s degree in accounting or finance, or in a related field preferred
Experience with payroll processing and/or payroll tax and compliance is preferred
Must have strong organizational and analytical skills and be detailed oriented
Must possess excellent time management skills
ADP Vantage experience preferred
Proficient computer skills in Microsoft Office, including Outlook, Word and especially Excel
Ability to multi-task under tight deadlines
Process-driven while able to be resourceful and adaptable
Ability to work independently, in a remote environment, with minimal oversight from supervisor
Strong customer service focus with the ability to effectively communicate with government agencies and employees
