The Payroll Specialist ensures the accurate and timely administration of global payroll, benefits, and statutory compliance in alignment with US, Mexican, and Philippine labor laws. This role requires proficiency in both HRIS payroll systems and manual payroll processes, advanced knowledge of Excel, and a strong background in final pay computation and statutory contributions for Filipino (SSS, Pag-IBIG, PhilHealth, and BIR) and global employees. The ideal candidate should be detail-oriented and have demonstrated experience handling payroll complexities. The Payroll Specialist will be joining the MaryRuth’s People Experience team, reporting to the Director of People Experience. This is a full-time (40 hour/week), paid, salaried, remote role requiring working a US timezone, preferably aligning with EST or CST hours. The compensation range for this role is PHP 118,750 – 142,500 per month.
Job Responsibility:
Oversee the end-to-end payroll process for global employees, ensuring accuracy, verifying inputs, resolving payroll discrepancies promptly, and compliance with local labor laws
Ensure all tax deductions, statutory benefits, and employee compensations are processed in line with labor regulations (primary countries are Philippines, Mexico, and US)
Triage department service tickets and respond to payroll-related employee queries, providing timely and accurate resolutions
Process US final pay and partner with our Employer of Record (EOR) in the calculation of the final pay for separating employees, including pro-rated salaries, unused leave balances, and statutory deductions
Collaborate with other departments and vendor partners for seamless clearance processes
Support annual compensation market pricing reviews
Validate and audit statutory and company-provided accrued paid time benefits
coordinate payroll for employees during leaves of absence
Support cyclical and ad hoc compensation cycles, discretionary and statutory bonus programs, and additional items
Process and remit government-mandated contributions and taxes on time
Partner with internal teams and EOR in preparing and filing government reports and tax returns
Stay updated on changes to relevant global labor laws and statutory requirements to ensure compliance
Maintain accurate and up-to-date payroll records, ensuring readiness for audits
Regularly conduct internal audits to proactively identify discrepancies and implement corrective measures
Support onboarding and offboarding processes, ensuring a positive experience for both new hires and departing employees
Collaborate with the global PX team in implementing initiatives and policies
Partner for the creation of payroll and timekeeping training modules
Support engagement activities to foster a culture of belonging, including occasionally organizing community outreach events (both virtual and in-person) that reinforce MaryRuth’s ESG goals and our commitment to local community support

Requirements:
Bachelor’s degree in Human Resources, Accounting, Finance, or related fields (or equivalent experience) is required
Minimum of 3 years of experience in payroll processing, benefits administration, and statutory compliance in the Philippines
Strong understanding of Philippine labor laws, tax regulations, and government-mandated benefits
Advanced proficiency in Microsoft Excel (e.g., pivot tables, VLOOKUP, macros)
Expertise in payroll systems (HRIS) and manual payroll processes
High attention to detail and ability to handle sensitive information with confidentiality
Excellent organizational and time management skills to meet strict deadlines
Strong communication skills to liaise effectively with employees, government agencies, and external providers
Adaptability to manage payroll operations during system downtimes or changes in government policies
Nice to have:
Certified Payroll Professional (CPP) designation
