The Payroll Specialist is responsible for accurately processing payroll, maintaining payroll records, and ensuring compliance with all federal, state, and local regulations. This role requires strong attention to detail, excellent organizational skills, and the ability to work with confidential information in a fast‑paced environment.
Job Responsibility:
Process payroll for hourly and salaried employees, ensuring timely and accurate payments
Review and verify hours worked, deductions, bonuses, commissions, and other pay‑related data
Maintain employee payroll files and ensure data integrity across systems
Respond to employee inquiries regarding pay, taxes, or deductions
Reconcile payroll reports and resolve discrepancies
Prepare payroll journal entries and assist with payroll‑related general ledger reconciliations
Ensure compliance with federal, state, and local wage and tax laws
Assist in preparing quarterly and annual tax filings, including W‑2s and 1099s
Coordinate with HR on employee status changes (new hires, terminations, benefits, etc.)
Support audits by providing payroll documentation and reports
Assist with process improvements to increase efficiency and accuracy in payroll operations
Requirements:
Bachelor’s degree in Accounting, Finance, Business Administration, or equivalent experience
1–3+ years of payroll processing experience preferred
Proficiency with payroll systems (e.g., ADP, Paychex, Ceridian, Workday, UKG)
Strong working knowledge of payroll regulations and wage laws
Intermediate to advanced Excel skills (VLOOKUP, pivot tables)
High degree of accuracy, confidentiality, and professionalism
Strong communication and time‑management skills
Nice to have:
Multi‑state payroll experience
Experience with payroll taxes and quarter‑end filings
Familiarity with benefits administration and HRIS data
Certifications such as FPC or CPP are a plus
