As part of our team, the Payroll Specialist is responsible for ensuring accurate and compliant payroll operations in line with Polish regulations and internal policies. This role plays a key part in delivering smooth and timely payroll processes, maintaining data accuracy, and supporting employees in all payroll-related matters.
Job Responsibility
Prepare and process payroll calculations for employees (employment contracts and civil law agreements), including all salary components
Ensure accurate processing of absences, benefits, and other payroll-related elements
Manage employee benefits (sports card, private medical care, insurance)
Coordinate payroll data inputs, including working time, absences, and bonuses, ensuring accuracy and completeness
Prepare and reconcile payroll reports, including accounting postings (PK), payroll summaries, vacation accruals, and SOX-related reports
Handle settlements with external authorities (ZUS, US, PFRON) in compliance with legal requirements
Prepare statutory reports and declarations, including submissions to GUS
Provide ongoing support to employees by issuing certificates, explaining payslips, and resolving payroll-related inquiries
Collaborate closely with HR, Finance, and external stakeholders to ensure smooth payroll operations
Requirements
2-4 years of experience in a similar payroll position
Fluent Polish and English B1-B2
Strong knowledge of MS Office, especially Excel
Practical experience with payroll systems (e.g., TETA HR, PŁATNIK)
Good knowledge of Polish labor law, social security, and tax regulations
Higher education in Finance, Accounting, Economics, or a related field is an advantage
