We are looking for a Payroll Specialist to oversee accurate, compliant payroll operations for a multi-state workforce in Hampton, New Hampshire. This position plays a key role in supporting employees and managers with payroll processes, maintaining reliable records, and helping the organization scale payroll practices across multiple entities. The ideal candidate brings strong technical payroll knowledge, sound judgment, and a service-oriented approach to cross-functional collaboration.
Job Responsibility
Administer complete payroll processing for employees across multiple states, covering a range of pay structures such as salaried, hourly, exempt, non-exempt, and commission-based compensation
Review payroll activities to ensure adherence to federal, state, and local tax rules, wage regulations, and reporting obligations
Maintain accurate payroll documentation, filings, and audit-ready records while resolving discrepancies in a timely manner
Process payroll-related employee changes, including onboarding entries, status updates, compensation changes, and separations
Act as a primary point of contact for payroll questions, providing clear guidance to employees, managers, and internal stakeholders
Deliver payroll system training and onboarding support for new team members and newly added business entities
Coordinate payroll setup for additional entities, including tax identifiers, legal structure details, and jurisdiction-specific tax accounts
Partner with teams such as Accounting, FP&A, and IT to support reporting, reconciliations, data accuracy, and payroll-related projects
Manage payroll system settings, accrual-related configurations, benefit deductions, retirement uploads, and related data integrity controls
Contribute to commission processing, analytical reporting, and special initiatives, including payroll integrations or implementation-related work when needed
Requirements
At least 3 years of experience handling multi-state payroll in a complex or expanding business environment
Hands-on knowledge of payroll tax compliance, wage and hour requirements, and payroll recordkeeping standards
Experience working with payroll platforms, including at least 1 to 3 years using Dayforce for payroll or HRIS-related functions
Ability to support multi-entity payroll operations, including tax account setup, FEIN administration, and jurisdictional configuration
Strong analytical skills with close attention to detail and the ability to manage sensitive information with discretion
Effective communication skills with the ability to explain payroll processes clearly to employees and leaders
Proficiency in Excel and comfort working with payroll reports, reconciliations, and data analysis
Bachelor's degree preferred, or equivalent practical experience in payroll administration
