The Payroll Specialist is responsible for accurately and efficiently processing payroll for a multi-entity organization. This position ensures compliance with all applicable federal, state, and local regulations and provides excellent support to employees with payroll-related questions. The Payroll Specialist collaborates closely with the People & Organization and Accounting & Finance teams to guarantee that payroll activities are aligned with company policies and standards.
Job Responsibility:
Prepare and process weekly, semi-monthly, monthly, and off-cycle payrolls for all employees across various operating entities
Ensure accurate calculations of hours worked, overtime, bonuses, and deductions
Audit timecards and enter accurate data into payroll systems
Maintain compliance with all federal, state, and local payroll laws, including tax reporting and garnishments
Prepare and submit payroll tax reports and ensure timely payments
Complete year-end activities, such as W-2 and related form distribution
Respond to employee inquiries regarding pay, benefits, deductions, and timekeeping
Process direct deposit enrollments and updates
Set up tax and entity details for payroll operations in new locations as needed
Complete annual and periodic government agency reporting (e.g., EEOC, ACA, 401k audit, etc.)
Prepare monthly, quarterly, and annual reports for company management
Advise on payroll policies and ensure procedures are up to date
Maintain accurate payroll records including employee data, tax information, and deductions
Handle confidential and sensitive information in accordance with company policies
Update payroll systems with new hires, terminations, or changes in employment status
Conduct routine payroll audits to ensure data integrity
Serve as a point of contact for internal and external audit and reporting needs (e.g., Workers' Comp, paid leave programs, 401k, etc.)
Support compensation benchmarking and pay band analysis
Manage new hire and contractor reporting as required by state and federal agencies
Recommend and implement improvements to payroll processes and systems
Perform other payroll-related projects and duties as assigned
Requirements:
Bachelor’s degree in Accounting, Finance, Human Resources, or related field
Minimum of 3 years’ experience in payroll processing
Proficiency with payroll and accounting systems (e.g., ADP, Concur, Microsoft Dynamics, etc.)
Strong attention to detail and ability to maintain accurate records
Advanced skills in Microsoft Excel and other Office applications
Knowledge of payroll laws, tax requirements, and compliance standards
Excellent communication, organizational, and problem-solving skills
Ability to work under tight deadlines and maintain confidentiality
