We are looking for a detail-oriented Payroll Specialist to join a growing team in Illinois in a contract role with the potential to become permanent. This position supports a diverse client base by managing payroll operations, maintaining accurate financial records, and preparing reporting documents that help businesses stay compliant and organized. The ideal candidate brings hands-on payroll experience, strong accounting awareness, and confidence working with client information in a fast-paced environment.
Job Responsibility:
Manage recurring payroll cycles for multiple business clients, ensuring accurate and timely completion of weekly, bi-weekly, and monthly pay runs
Collect and review payroll data from clients, verify pay details such as earnings, deductions, overtime, and bonuses, and enter information into the appropriate systems
Respond to client questions related to payroll activity, pay records, tax items, and processing concerns with professionalism and accuracy
Prepare payroll tax filings and related documentation for agencies, while supporting required monthly, quarterly, and year-end reporting deliverables
Maintain and update employee compensation details, benefit deductions, wage rates, and onboarding records to support accurate payroll administration
Perform bookkeeping activities for assigned clients, including recording bank and credit card transactions and generating financial statements for review
Reconcile accounts to identify discrepancies, correct posting issues, and support accurate financial reporting
Assist with after-the-fact payroll processing and contribute to additional compliance tasks such as sales tax reporting as training progresses
Requirements:
At least 2 years of payroll processing experience in a high-volume or multi-client environment
Working knowledge of payroll practices, wage calculations, tax withholdings, and general accounting principles
Proficiency with QuickBooks, including Online and Desktop versions
Strong skills in Microsoft Excel, Word, and Outlook for reporting, documentation, and communication
Ability to manage sensitive information with accuracy, discretion, and strong attention to detail
Comfortable organizing documentation electronically and maintaining clear client processing records
Experience with bookkeeping, account reconciliation, or payroll-related reporting is strongly preferred
