We are looking for a detail-oriented Payroll Coordinator to join our team in San Rafael, California. In this long-term contract position, you will play a key role in managing accurate and timely payroll processes for a diverse workforce, including union and non-union employees across multiple states. Job Responsibility:
Process and manage full-cycle payroll operations, including data entry, validation, reconciliation, auditing, and distribution across various payroll systems
Maintain and process employee time records while ensuring compliance with company policies, collective bargaining agreements, and wage and tax laws
Conduct regular audits to verify payroll accuracy, including wages, taxes, benefits, and accruals
Prepare and reconcile payroll reports, tax filings, and timekeeping records to ensure compliance and support management reporting
Coordinate garnishments and handle remittances for benefit trusts, retirement plans, union dues, and other obligations
Respond to employee and manager inquiries regarding payroll, timesheets, and pay statements, offering clear and timely support
Develop and maintain documentation of payroll processes and guidelines to ensure operational consistency
Identify and recommend process improvements to enhance payroll efficiency and accuracy
Assist with special payroll-related projects, such as audits and reconciliations, as needed
Provide training and guidance on payroll systems, self-service tools, and time entry procedures
Requirements:
High school diploma or equivalent required
Associate degree or related coursework preferred
Minimum of 2 years of recent payroll processing experience, with multi-state and union payrolls being a plus
Proficiency in payroll systems such as UKG Pro, ADP, or similar platforms
Familiarity with payroll audits and analytics is highly desirable
Intermediate skills in Microsoft Excel, Word, and Outlook
Strong attention to detail and numerical accuracy to ensure precision in payroll operations
Ability to handle sensitive information with integrity and professionalism
Effective communication skills with a customer-focused approach to resolving payroll inquiries
