Job Description:

We are looking for a meticulous Payroll & AP Specialist to join our team in Salinas, California. In this role, you will oversee payroll processes while managing accounts payable tasks, ensuring accuracy and compliance with regulations. The position balances payroll responsibilities (75%) with accounts payable duties (25%) and is ideal for someone organized and skilled at handling multiple priorities.

Job Responsibility:

  • Process biweekly payroll for employees, ensuring accuracy and adherence to labor laws, tax regulations, and company policies
  • Maintain and update employee payroll records, including timesheets, direct deposit details, and tax documents
  • Stay informed on federal and state payroll laws, implementing necessary updates to ensure compliance
  • Generate and distribute detailed payroll reports, including overtime, deductions, and benefits summaries
  • Investigate and resolve payroll discrepancies, providing prompt and thorough support to employee inquiries
  • Manage payroll systems, troubleshoot technical issues, and propose efficiency improvements
  • Review, code, and process vendor invoices with accuracy, ensuring timely payments
  • Reconcile accounts payable ledger to ensure all transactions are accurately recorded and current
  • Audit employee expense reports for compliance and process reimbursements in line with company policies

Requirements:

  • Bachelor’s degree in Accounting, Finance, or a related field is preferred
  • Minimum of 3 years of experience in payroll processing and accounts payable, ideally in a dynamic, multi-entity environment
  • Proficiency in payroll systems such as ADP Workforce Now, Paychex, or QuickBooks, along with accounting software
  • Advanced knowledge of payroll laws, tax regulations, and best practices for accounts payable
  • Strong organizational skills with the ability to manage multiple tasks and meet strict deadlines
  • Detail-oriented and capable of working independently while maintaining accuracy

Nice to have:

Advanced Excel skills are a plus, enhancing data analysis and reporting capabilities
