Job Description

Our client in Louisville, MS is seeking a detail-oriented Payroll and Benefits Specialist to join their Human Resources team. In this role, you will handle end-to-end payroll processing for multi-state employees and administer employee benefits using ADP Workforce Now. As a key bridge between HR, Finance, and staff, you will ensure payroll accuracy, regulatory compliance, and superior support for all employees.

Job Responsibility

  • Oversee enrollment, changes, and terminations for a variety of benefits programs, including health, dental, vision, life insurance, and 401(k)
  • Support accurate bi-weekly/semi-monthly payroll processing for salaried and hourly employees via ADP Workforce Now
  • process new hires, separations, pay adjustments, and bonuses
  • Audit and review employee timecards and resolve exceptions in ADP eTime prior to payroll submission
  • Maintain employee data accuracy, reconcile payroll tax filings (941s, W-2s), manage benefit invoices, and perform general ledger reconciliations
  • Ensure all payroll and benefits processes are compliant with FLSA, FMLA, COBRA, ACA, EEO-1, and state/local requirements
  • Produce and analyze custom payroll and benefits reports for HR and Finance teams
  • Serve as the first point of contact for employee questions regarding payroll, benefits, and deductions
  • deliver timely and clear resolution

Requirements

  • 3–5 years of experience in payroll and benefits administration, ideally with multi-state payroll
  • Hands-on experience with ADP Workforce Now and its reporting tools (strongly preferred)
  • Understanding of payroll practices, garnishments, payroll taxes, and compliance (including ACA, ERISA, FMLA)
  • Advanced Microsoft Excel skills (such as pivot tables and VLOOKUP)
  • Bachelor’s degree in Accounting, Finance, Human Resources, or relevant experience in the field

  • Oversee the day-to-day corporate group benefits administration and Group RRSP plan updates, managing premium adjustments and changes
  • Review electronic time-tracker sheets and collaborate closely with supervisors/managers to resolve timecard errors or tracking discrepancies
  • Maintain, audit, and update employee master records regarding statutory tax parameters, localized deductions, and specialized earnings setups
  • Reconcile general ledger accounts, process journal entries, and coordinate monthly remittance requests for Union dues, benefit invoices, and WSIB
  • Audit documentation for new hires, organizational transfers, and terminations to ensure continuous legislative alignment
  • Support the generation, verification, and filing of year-end tax slips (T4s) along with system rollover activities into the new fiscal year
  • Provide clear, consistent interpretations of Collective Agreements, Employment Standards Act (ESA), and Canada Labour Code (CLC) regulations
  • Act as the principal point of contact for employee inquiries regarding payroll discrepancies, tax deductions, and benefit allocations
  • Identify system inefficiencies and actively participate in driving automated process improvement initiatives within the finance & accounting unit
