We are looking for a Payroll Administrator to oversee payroll operations for a workforce that includes both union and non-union employees in Fairfield, New Jersey. This position plays a key role in delivering accurate weekly payroll, maintaining dependable timekeeping records, and supporting reporting obligations tied to union agreements and payroll compliance. The ideal candidate brings strong payroll experience, sharp attention to detail, and the ability to manage documentation in a regulated or fast-paced environment.
Job Responsibility:
Manage weekly payroll processing for union and non-union staff, as well as a smaller bi-weekly employee group, ensuring deadlines are consistently met
Review employee time entries for completeness and accuracy, resolving discrepancies before payroll is finalized
Maintain payroll-related balances and supporting records with clear documentation and proper record retention
Oversee the timekeeping system, assist with user issues, and address clock-related problems to support accurate labor reporting
Prepare recurring union payroll submissions and certifications, including required weekly and monthly reporting
Monitor compliance with union agreements and fulfill reporting obligations in a timely and accurate manner
Respond to unemployment verification requests and complete related documentation for labor or government inquiries
Keep payroll files organized, current, and ready for audit review while supporting internal reporting needs
Requirements:
At least 3 years of payroll administration experience, ideally supporting union payroll environments
Proven ability to process weekly payroll accurately and efficiently
Familiarity with union reporting practices, certifications, and related compliance requirements
Solid understanding of payroll documentation standards and regulatory accuracy expectations
Strong organizational skills, attention to detail, and ability to manage multiple deadlines
Effective communication skills with the ability to coordinate across teams
Nice to have:
Experience with Foundation software is a plus
Background in construction or another highly regulated industry is an advantage
