Conduct quarterly payroll balancing activities by reviewing tax withholdings, wage calculations, and deduction reporting to confirm accurate federal, state, Medicare, and local reporting
Analyze payroll results from gross pay through net pay, identify inconsistencies in payroll registers and deduction reports, and coordinate corrective action when issues are found
Manage year-end payroll review processes, including adjustment validation and proper treatment of prior-quarter and current-quarter corrections
Examine W-2 data across all applicable earnings, benefits, retirement contributions, and imputed income fields to ensure forms are accurate before final release
Support state and federal payroll filing preparation by organizing submission data, validating required formats, and resolving transmission errors to meet reporting deadlines
Work closely with district payroll staff during quarter-end and year-end close activities, providing guidance on reconciliations, adjustments, and payroll best practices
Create and deliver process documentation, walkthroughs, and training sessions to improve consistency and understanding of payroll reconciliation procedures
Review payroll deduction configurations for retirement and tax-advantaged plans, confirm contribution limits, and assist with correction activity when exceptions occur
Verify overtime calculations align with applicable agreements and organizational payroll rules, and investigate any variances requiring follow-up
Assist with expanding payroll support to additional districts by developing scalable workflows, reference materials, and operational documentation
Requirements
At least 5 years of experience handling payroll processing and reconciliation in a multi-entity, multi-site, or district-based environment
Strong background in quarterly and year-end payroll balancing, including tax reconciliation, adjustment review, and W-2 validation
Working knowledge of payroll compliance requirements affecting retirement deductions and tax-sheltered plans such as 403(b) and 457 programs
Experience preparing, validating, or transferring payroll information for state and federal reporting submissions
Proficiency with full-cycle payroll administration, including multi-state payroll processing for employee populations ranging from approximately 101 to 500 employees
Hands-on experience using ADP Workforce Now and related payroll reporting tools
Strong analytical skills with the ability to investigate discrepancies, maintain clear documentation, and communicate findings effectively
Ability to train and support payroll users while managing deadlines in a detail-driven environment
