We are looking for a detail-oriented Medical Scheduler to support patient access and care coordination for a Contract position in Federal Way, Washington. This role focuses on arranging appointments, confirming coverage details, and helping patients understand scheduling, referral, and billing-related information. The ideal candidate brings strong communication skills, sound knowledge of medical terminology, and a calm, patient-centered approach when working with individuals, providers, and referring offices.
Job Responsibility:
Coordinate patient appointments and related services based on approved referrals and clinical scheduling guidelines
Collect, confirm, and maintain patient demographic information and enter accurate details into the electronic medical record
Review insurance coverage, verify eligibility, and document authorization or referral information needed for scheduled visits
Check that required supporting items such as laboratory work, imaging, scans, and referral documents are available before appointments
Respond to patient questions regarding billing, insurance benefits, and estimated costs, and provide clear explanations when additional clarification is needed
Communicate with physicians, patients, and referring clinics when referrals are denied or when added documentation, review, or second opinions are required
Update patient charts by scanning, copying, and filing records into the appropriate sections of the electronic medical record system
Arrange special support services for patients, including interpreters, transportation, and other care-related accommodations as needed
Provide pre-visit guidance, manage cancellations or missed appointments according to established procedures, and escalate policy concerns to leadership when appropriate
Work collaboratively during operational changes involving external teams and evolving access to scheduling or support systems, while maintaining continuity of patient service.
Requirements:
2+ years of experience in medical scheduling, patient access, or a related healthcare support role
Practical knowledge of insurance verification, referral coordination, and authorization processes
Experience entering and maintaining patient information in an electronic medical record, including Epic software
Familiarity with medical terminology and the ability to communicate healthcare information clearly to patients
Strong customer service background with confidence handling high-volume phone or call center interactions
Ability to manage multiple priorities with accuracy, follow established procedures, and maintain organized documentation
Demonstrated empathy, patience, and professionalism when assisting patients with scheduling and coverage questions.
