Job Description:

The Office Operations Coordinator supports the daily administrative and operational functions of a medical office, ensuring efficient workflows, regulatory compliance, and a positive experience for patients, providers, and staff. This role serves as a central point of coordination across front office, clinical, and administrative teams.

Job Responsibility:

  • Coordinate day-to-day office operations to ensure smooth patient flow and efficient office functionality
  • Support front desk activities, including scheduling, check-in/check-out, and patient communication as needed
  • Act as a liaison between providers, clinical staff, and administrative teams
  • Maintain office supplies, equipment, and vendor relationships
  • Ensure compliance with HIPAA, OSHA, and internal policies and procedures
  • Assist with onboarding, training coordination, and scheduling for office staff
  • Monitor workflows and identify opportunities to improve efficiency and patient experience
  • Maintain accurate records and documentation in EMR and practice management systems
  • Address operational issues and escalate concerns appropriately

Requirements:

  • Prior experience in a medical office, healthcare administration, or office operations
  • Working knowledge of medical office workflows, scheduling, and patient services
  • Familiarity with EMR systems and standard office software
  • Strong organizational, communication, and problem-solving skills
  • Bilingual English and Spanish is a must
