We are looking for a dedicated Patient Administrative Specialist to join our team in Redwood City, California. In this role, you will play a critical part in ensuring smooth front office operations, including patient coordination, surgery scheduling, and administrative support within an outpatient clinical setting. This is a long-term contract position where attention to detail and excellent communication skills are essential for success.
Job Responsibility:
Welcome patients upon arrival and assist with inquiries regarding appointments, payments, and schedules
Coordinate with healthcare providers to manage scheduling preferences and address urgent patient needs
Support doctor-patient interactions by utilizing reference documents and tools effectively
Perform various administrative duties such as maintaining databases, processing internal forms, and managing paging directories
Ensure all clinic-specific documentation is filed, distributed, and organized appropriately
Respond to non-clinical patient communications and CRM inquiries, escalating issues when necessary
Handle incoming faxes, mail, and other correspondence in a timely and efficient manner
Meet or exceed organizational and departmental service standards through excellent customer service
Facilitate front desk operations including patient check-in and check-out processes
Maintain accurate records and ensure compliance with clinic protocols
Requirements:
High school diploma or equivalent education is required
Familiarity with medical terminology and its application in a clinical setting
Proficiency in using Windows-based office software and other computer systems
Strong verbal and written communication skills suitable for detail-oriented interactions
Ability to deliver exceptional customer service and manage multiple priorities effectively
Knowledge of electronic medical records (EMR) systems and multi-line phone operations
Capability to adapt communication styles to suit the needs and understanding of various individuals
Ability to remain calm and composed in high-pressure situations
