Job Responsibility:

  • Serving as the primary point of contact for patients, managing front desk operations, and facilitating check-in/check-out processes
  • Warmly greeting and assisting patients with inquiries regarding appointments, payments, and schedules
  • Efficiently managing a multi-line phone system, screening and routing calls, and taking messages for clinical staff and providers
  • Ensuring all necessary patient verifications and authorizations are complete prior to appointments
  • Coordinating with providers to align with their scheduling preferences and promptly addressing urgent patient needs
  • Providing essential support to patients and medical professionals, utilizing reference materials and tools
  • Performing various administrative tasks, including maintaining information databases and processing internal forms
  • Operating telephone systems and electronic health record (EHR) systems proficiently to carry out assigned duties
  • Consistently meeting or exceeding organizational and departmental service standards
  • Responding to non-clinical patient inquiries and messages, escalating as appropriate
  • Managing the distribution of faxes, mail, and maintaining organized clinic-specific documentation
  • Scheduling patients efficiently based on reports and ensuring all scheduling records are current and accurate
  • Meeting daily scheduling metrics and targets
  • Facilitating requests for medical records

Requirements:

  • High School Diploma or GED
  • Proven experience in scheduling appointments within a high-volume environment
  • Demonstrated experience in patient relations and customer service
  • Familiarity with requesting and coordinating medical records
  • Experience coordinating with medical offices
  • A strong customer service mindset
  • Exceptional organizational skills and attention to detail
  • Excellent verbal and written communication skills, adaptable to various audiences
  • Strong problem-solving abilities and the capacity to manage multiple priorities effectively
  • Proficiency in electronic health record (EHR) systems
  • Technical proficiency with modern communication and productivity software, including general computer systems and Windows-based office software
  • Ability to maintain composure and effectiveness in stressful situations
  • Strong time management skills and the ability to multitask
