Job Responsibility:
Serving as the primary point of contact for patients, managing front desk operations, and facilitating check-in/check-out processes
Warmly greeting and assisting patients with inquiries regarding appointments, payments, and schedules
Efficiently managing a multi-line phone system, screening and routing calls, and taking messages for clinical staff and providers
Ensuring all necessary patient verifications and authorizations are complete prior to appointments
Coordinating with providers to align with their scheduling preferences and promptly addressing urgent patient needs
Providing essential support to patients and medical professionals, utilizing reference materials and tools
Performing various administrative tasks, including maintaining information databases and processing internal forms
Operating telephone systems and electronic health record (EHR) systems proficiently to carry out assigned duties
Consistently meeting or exceeding organizational and departmental service standards
Responding to non-clinical patient inquiries and messages, escalating as appropriate
Managing the distribution of faxes, mail, and maintaining organized clinic-specific documentation
Scheduling patients efficiently based on reports and ensuring all scheduling records are current and accurate
Meeting daily scheduling metrics and targets
Facilitating requests for medical records
Requirements:
High School Diploma or GED
Proven experience in scheduling appointments within a high-volume environment
Demonstrated experience in patient relations and customer service
Familiarity with requesting and coordinating medical records
Experience coordinating with medical offices
A strong customer service mindset
Exceptional organizational skills and attention to detail
Excellent verbal and written communication skills, adaptable to various audiences
Strong problem-solving abilities and the capacity to manage multiple priorities effectively
Proficiency in electronic health record (EHR) systems
Technical proficiency with modern communication and productivity software, including general computer systems and Windows-based office software
Ability to maintain composure and effectiveness in stressful situations
