We are looking for a Patient Admin Specialist (PAS)/Medical Scheduler to support front-office operations for an outpatient clinic in Palo Alto, California. This short-term Contract position focuses on delivering a welcoming patient experience while coordinating registration, scheduling, and essential administrative support. The ideal candidate is organized, responsive, and comfortable managing a high-volume environment with professionalism and accuracy.
Job Responsibility:
Review Epic scheduling reports and work queues to identify patients requiring pre-anesthesia appointments
Contact patients via phone to schedule appointments in a timely, professional manner
Determine appropriate appointment types (in-person vs. virtual) based on established guidelines
Accurately document all scheduling activities within Epic
Request and track medical records, ensuring proper documentation in the system
Collaborate with schedulers, patient care coordinators, and clinical teams to optimize workflows
Maintain high standards of customer service and patient communication
Follow clinic workflows, standard operating procedures, and escalation protocols
Requirements:
High school diploma or equivalent
Previous experience in healthcare scheduling
Experience working in a patient-facing or customer service role
Ability to thrive in a fast-paced, high-volume environment
Strong verbal communication and professional phone etiquette
High attention to detail and organizational skills
Ability to follow detailed workflows and scheduling criteria
Effective time management and ability to meet productivity goals
Customer-focused mindset with a patient-centered approach
Reliability, professionalism, and ability to work collaboratively onsite
Experience with Electronic Health Records (EHR)
Epic preferred
Proficiency with Microsoft Office (Outlook, Word, Teams)
Ability to navigate scheduling systems, reports, and documentation tools
Comfortable learning new systems and workflows quickly
Nice to have:
Prior experience with Epic or similar EHR systems
Healthcare scheduling or clinic experience
Familiarity with pre-anesthesia or surgical workflows
Experience working with scheduling reports or work queues
