We are looking for a Patient Admin Specialist (PAS) to support front-desk operations and patient registration activities in an outpatient clinic in Castro Valley, California. This Long-term Contract opportunity is ideal for someone who enjoys creating a welcoming patient experience while keeping scheduling, documentation, and daily administrative processes organized. In this role, you will help coordinate appointments and surgery-related scheduling, respond to non-clinical patient inquiries, and support smooth communication across the clinic team.
Job Responsibility:
Welcome patients at the front desk, guide them through check-in and check-out, and address routine questions related to appointments, payments, and visit logistics
Coordinate new patient intake and assist with scheduling needs, including surgery appointments and other follow-up visits based on provider availability and clinic priorities
Work closely with providers and staff to align scheduling plans, communicate time-sensitive needs, and help address urgent administrative requests promptly
Support patient and physician interactions by using approved reference materials, office tools, and clinic procedures to provide accurate non-clinical assistance
Maintain clinic records and administrative databases, update directories and patient-related information, and complete internal documentation with attention to detail
Respond to non-clinical messages received through CRM platforms and patient communication channels, escalating issues to the appropriate team when needed
Manage incoming and outgoing office communications by sorting faxes, distributing mail, and organizing clinic documents through proper filing practices
Contribute to efficient daily operations by handling a variety of front-office tasks while meeting established service expectations and departmental standards.
Requirements:
High school diploma or equivalent required
Working knowledge of medical terminology in a clinical or patient-facing administrative setting
Ability to use computer systems, EMR platforms, CRM tools, and Windows-based office applications effectively
Strong verbal and written communication skills with the ability to adjust messaging for different audiences
Proven customer service skills with the ability to remain detail oriented, organized, and responsive in a busy clinic environment
Ability to manage multiple tasks at once, solve routine administrative problems, and maintain accuracy under pressure
Experience with appointment coordination, patient registration, payment-related inquiries, document handling, or front-desk support is preferred.
