Job Responsibility

  • Welcome patients at the front desk, manage check-in and check-out activities, and address routine questions related to appointments, payments, and scheduling
  • Coordinate new patient intake and assist with arranging appointments and surgical visits based on provider availability and clinic guidelines
  • Communicate with physicians and clinic staff to align scheduling needs and help address time-sensitive patient situations appropriately
  • Support patient and provider interactions by using approved reference materials, office tools, and established administrative procedures
  • Respond to non-clinical inquiries received through phone messages or CRM systems, and route complex matters to the appropriate team when needed
  • Maintain accurate clinic records by updating databases, processing internal documentation, and organizing patient-related administrative forms
  • Handle incoming and outgoing office correspondence, including fax distribution, mail processing, and filing of clinic-specific documents
  • Contribute to daily clinic efficiency by meeting service expectations and completing administrative duties in a timely and thorough manner

Requirements

  • High school diploma or equivalent education is required
  • Familiarity with medical terminology and its use in a patient registration or clinical office setting
  • Proficiency with computer applications, Windows-based office software, and systems used for scheduling, documentation, and patient administration
  • Ability to communicate clearly and professionally in both verbal and written formats
  • Strong customer service skills with the ability to resolve issues and manage several tasks at the same time
  • Comfortable adapting communication style to match the needs and understanding of patients, providers, and coworkers
  • Ability to remain composed and effective in fast-paced or stressful situations
  • Experience supporting front-desk processes such as appointment scheduling, payment handling, records management, or message routing is preferred
