We are looking for a Patient Admin Specialist (PAS) to support front-office operations in an outpatient clinic in California. This Long-term Contract position is ideal for someone who excels at patient-facing service, appointment coordination, and administrative support in a fast-paced healthcare setting. The person in this role will help create a smooth experience for patients while ensuring scheduling, communication, and documentation activities are handled accurately and efficiently.
Job Responsibility
Welcome patients at the front desk, guide them through check-in and check-out, and address routine questions related to visits, payments, and scheduling
Coordinate new patient intake and assist with arranging appointments, including surgical scheduling and other provider-directed calendar needs
Work closely with physicians and clinic staff to align appointment availability with provider preferences and respond promptly to urgent scheduling matters
Support patient and provider communication by using approved reference materials, office tools, and established workflows for non-clinical inquiries
Manage incoming patient messages and customer service requests, resolving non-clinical issues directly and escalating more complex matters when needed
Maintain clinic records and administrative documentation, including internal forms, directory information, and other office databases
Handle daily office support tasks such as processing faxes, sorting mail, filing clinic documentation, and keeping front-office materials organized
Deliver attentive service that meets departmental expectations for responsiveness, accuracy, and patient satisfaction
Requirements
High school diploma or equivalent
Familiarity with medical terminology used in a clinical or outpatient setting
Experience using computer systems, electronic records, CRM tools, or other office software relevant to administrative healthcare work
Strong verbal and written communication skills with the ability to explain information clearly to patients, staff, and providers
Demonstrated customer service skills, including the ability to manage questions, resolve routine issues, and maintain professionalism under pressure
Ability to balance multiple tasks at once, stay organized, and adapt priorities in a busy clinic environment
Working knowledge of Windows-based applications, phone systems, and general office technology
Comfortable remaining calm in stressful situations and adjusting communication style based on the audience's needs
