Robert Half Legal is partnering with a boutique IP law firm who is looking to hire a Patent Annuities Manager with at least 3-5 years of experience. The Patent Annuities Manager will support patent portfolio administration with an emphasis on annuity and maintenance activity across domestic and international matters. The ideal candidate will have experience in patent prosecution, patent annuities, or IP docketing. This position is paying between $70-90K plus an annual bonus, and full benefits including medical, dental, long term disability, life insurance, 401k + yearly profit share, and PTO. While this firm is based in Chicago, this position will be able to work on a fully remote schedule.
Job Responsibility
Oversee patent maintenance and annuity actions for U.S. and international filings by coordinating payments through outside providers and internal tracking tools
Track upcoming due dates and follow through on required actions to help ensure timely submissions and fee payments across the portfolio
Examine notices, billing documents, and payment confirmations to verify accuracy and resolve discrepancies when needed
Update docketing platforms and internal records so patent data remains complete, current, and reliable
Work closely with external counsel, foreign representatives, and annuity vendors to communicate instructions and confirm status updates
Prepare documentation and directions related to payment decisions, lapse requests, or restoration matters for patent assets
Support financial oversight by matching invoices to services, assisting with spend reporting, and contributing to budget planning
Produce portfolio reports covering renewal status, approaching deadlines, and annuity-related costs for internal review
Assist with record audits and other intellectual property administrative activities to maintain strong data quality across systems
Requirements
At least 3 years of experience in patent annuities, IP docketing, or patent prosecution support
Working knowledge of U.S. and international patent renewal and maintenance requirements
Experience collaborating with third-party annuity service providers in a legal or intellectual property environment
Familiarity with intellectual property management or docketing software such as Anaqua, FoundationIP, Ipendo, or similar platforms
Strong attention to detail with the ability to manage a high volume of deadline-sensitive work accurately
Clear communication skills for coordinating with counsel, vendors, and cross-functional stakeholders
